This release will include the addition of letterheads, the addition of a cover letter, status indicators for eFax, the ability to resend a fax, sending a fax to any number, matching the printed format to fax and some default preferences.
We had had many requests for some additional functionality with eFax and having letterheads. This release includes those requests and capabilities. These updates will help in identifying who is sending information, seeing the status of information sent and resending in the event of failure.
To use the letterhead, you will first need to create one in the configuration. This is done by going to the configuration settings -> Letterhead section as seen below. You will need to have manager rights at a minimum.
There you will need to click add letterheads.
Then design your letterhead or import an image.
When finished click the “Add” button at the bottom.
Make sure that the default box is checked if this is the only letterhead you will create.
Once the letterhead is created it will be used as the default when faxing or printing a document.
You can create multiple letterheads and set them as defaults for Messages, Faxes and Printing.
This is done in the user preferences as it will apply to each provider individually.
You can use the configured letterheads when you are faxing, printing or sending a message.
Click the box to include a letterhead and select the desired letterhead if you don’t wish to use the default selected.
To add a Cover letter to a fax or message you will need to first configure it. You will need manager rights to do this. The configuration is found by clicking Configuration then select Fax from the list. Here you will find a cover letter configuration section.
You need to add whatever sections you want displayed on your cover letters. Simply click the plus next to the fields you want to include on your cover letters which will display the selected fields to the right.
Click Save and the setup is complete. Please note that this is a practice setting and will apply to all cover letters that are included in a message.
To add a cover letter to a message or fax you only need to check the box to include a cover letter. It will then be included when you hit send.
