General Patient Portal Questions
Can we select which modules the patient see on the portal? Like if I don’t want appointment request I can deselect it and it will not show on the portal.
Yes. The portal will be customizable to enable/disable the appointment requests, prescription refill requests, online payments, and patient engagement.
Will all this information under the patient tracker be going to the provider’s gray column that the patient selected?
This is in reference to the Appointment Requests, Intake Forms, and Refill Requests sections to be added in the gray left-hand column on the dashboard. Yes, the data will be there, but the order is yet to be determined.
Appointment Requests
Doesn’t the request have to be in Advanced MD?
Advanced MD handles appointments, but not appointment requests. The requests will be outside of Advanced MD.
Intake Forms
Can we block the patients from entering certain information?
Yes. With our current plans for intake forms, you will be able to turn on/off each section of the form. This will make it so they cannot enter the information on the sections that have been turned off.
Regarding insurance, how would the patient know what to input. as you know there’s lots of different blue cross, etc.?
This is one of the main reasons for the intake form reconciliation process. We found that patients were very likely to input incorrect insurance information which would cause problems with billing their insurance, so we do not want to open it completely to patients. Instead they will be entering the information to the best of their ability and uploading pictures of the insurance card, and the information will be sent to the practice to determine what should actually be entered into their insurance information.
Can we add fields to the intake forms already created in order to have them reflect our in office intake forms?
Not at first. In the initial release, you will only be able to customize intake forms be choosing what sections to display. However, we are already planning to build a full-featured form builder that will allow you to add whatever questions you want, and even tie patient entered information to the exam (e.g., you could ask the patient about their chief complaint, and it would automatically populate in the exam).
Can we have the patient portal send a message to our pm system to let them know a patient has updated and or input insurance information in patient portal?
We are looking into this. A lot will depend on the specific PM system’s interface capabilities.
Are the intake forms age relative? Can these forms be customized? Are the forms intuitive based on the age and set of the patient?
The first phase of the intake forms will have minor customization features, but will not be age relative. We have planned development for more customize intake forms in the second phase. We can look into age relative features for the second phase.
Do the changed made on the intake forms automatically override the current info in the system?
No. Someone at the practice will need to review the changes before they enter the EMR.
If a patient does not update their info in the portal, can we ask them to do so while in the office? If so, can this be done on a kiosk in the waiting area or on a tablet attached to the counter top?
Yes. We are planning on kiosk functionality.
Could a patient send a pic of their insurance ID card or perhaps a rash?
They will be able to send a picture of their insurance card from the intake form. The Patient Portal will also have a secure messaging feature that will allow patients to send any documents or pictures to the provider, but we are not planning on adding that feature to the intake forms until the second phase when we add more customization options.
Rx Refill Requests
When a patients submits this refill request, once it is sent is there a way to attach that patient’s last date of service as well as the last ICD-10 codes in which were used for the last date of service?
This was not part of our original plan, but we will look into it.
Can we put in an option with medication refill request for the patient to put in what location the patient was seen by the provider in?
We plan to add the patient’s preferred location, but we could look into this as well.
Controlled substances can’t be requested – pt needs an appt.
Excellent point. We’ll take this into consideration.
For prescription refill, will provider default to provider listed? and will pharmacy default to what is listed for their account?
Yes.
Did refill request include the last date med was prescribed?
That makes sense, and the data is available. We will add the last date prescribed.
We would prefer the patient calls the pharmacy to refill their scripts / Does the RX refill go directly to the pharmacy?
The prescription refill requests can be turned off. These refill requests are for when there are no more refills on their prescription and they doctor needs to write another prescription.
Patient Pay
How will this work if our practice uses a separate PM outside of Chart Logic?
We will need to look into non-ChartLogic PM systems on an individual basis.
How can I find out if our pm is one of the pm’s that is compatible with the patient payment?
Our project managers will be able to determine if your PM is compatible with patient payments on an individual basis after the Patient Portal is released.
Is the CL practice management system able to utilize Patient Pay?
Yes. We are currently building patient pay to work with the ChartLogic Practice Management solution.
Can the RX request be set up to go to a whole practice provider bucket so if their doctor is not here, another in the office could authorize or decline?
Yes. We are in the process of determining the best workflow for this to happen.
Patient Engagement
Will the patient engagement be an additional charge?
We are not able answer that until we have selected a partner to handle SMS messages.
Authorized Representatives
For your representative, could this be used for a law office that is representing the patient? Possible issue would be to have an option for an expiration date?
This could definitely be used for a law office that is representing the patient. We had not considered an option for an expiration date, but it makes sense.
